All rental rates are per day, unless otherwise stated in writing. The rental period begins at the scheduled delivery or pickup time and ends at the scheduled pickup or return time.
Submitting a quote request does not guarantee availability. Rentals are considered reserved only after confirmation by Totally Reliable Party Rentals, LLC. Availability is subject to change until confirmed.
All rental quotes are valid for 15 calendar days from the date issued. After this period, pricing, availability, and deposit requirements are subject to change. Reservations must be confirmed within the quote validity period to guarantee pricing and availability.
Rental rates do not include delivery, setup, breakdown, taxes, permits, or additional services unless specifically stated. Additional fees may apply for extended rental periods, order changes, special setup requirements, or add-on items.
Requests for changes or additions must be made in advance and are subject to availability. Same-day or last-minute changes may not be accommodated and may result in additional charges.
The Customer is responsible for ensuring:
Clear and unobstructed access to the setup area at the scheduled delivery time
Adequate space for safe installation
No vehicles, furniture, or obstacles in the setup area
Delays caused by inaccessible or unprepared sites may result in additional fees or modified service.
Delivery Locations & Accessibility:
For residential deliveries, rental items will be delivered to the garage, front door, or front garage door. If access to the backyard is through a side gate or across grass, items will only be delivered to the accessible gate. Drivers are not responsible for moving equipment across lawns or obstacles.
Distance & Obstacle Fees:
Additional fees may apply if equipment must be carried more than 20 feet from the delivery vehicle, up stairs, or through other obstacles. For commercial deliveries, fees may apply if stairs, freight elevators, or suite access require extra effort or distance. Any additional charges will be communicated at the time of order or assessed at delivery if not pre-arranged.
Pickup Instructions:
All items should be placed outside in an accessible location for pickup. Customers are responsible for ensuring that items are in a safe and reachable location.
For tent rentals:
Setup surface (grass or hard surface) must be disclosed in advance
Hard-surface installations require appropriate anchoring (such as sandbags) and must be requested ahead of time
Totally Reliable Party Rentals, LLC reserves the right to modify or refuse installation if conditions are deemed unsafe
Site Preparation and Utilities:
The Customer is responsible for providing a clear and safe site for setup. All underground utilities, irrigation systems, septic lines, or other obstructions must be clearly marked prior to delivery. The Customer assumes responsibility for any damage caused by failure to mark or prepare the site appropriately.
Cooking and Electrical Use:
Cooking or open flames are prohibited under tents or within a safe distance of rented equipment. The Customer is responsible for any damage, cleanup, or safety issues resulting from violation of this rule. If electrical power is required for installation or operation of rented equipment, the Customer must provide access to power and ensure it is safe for use.
Fire Retardant Materials & Code Compliance:
Some tent models offered by Totally Reliable Party Rentals, LLC are not manufactured with fire-retardant materials. Fire-retardant certification or compliance with venue, HOA, or municipal fire codes is not guaranteed for all tent rentals unless expressly stated in writing.
The Customer is solely responsible for confirming whether fire-retardant materials, certifications, permits, or inspections are required for their event location. Requests for fire-retardant tents must be made in advanceand are subject to availability.
Totally Reliable Party Rentals, LLC shall not be responsible for event delays, cancellations, fines, or denied installations resulting from venue, HOA, or regulatory requirements related to fire safety or material compliance.
Tents and rental equipment are intended for shade and light weather conditions only. Due to Florida weather conditions, including high winds, heavy rain, lightning, or severe storms, setup, use, or takedown may be delayed, modified, or canceled for safety reasons. Weather-related decisions are made at the discretion of Totally Reliable Party Rentals, LLC.
The Customer is solely responsible for monitoring weather conditions throughout the entire rental period. Tent use must be discontinued immediately if sustained winds exceed 10 mph or if wind gusts exceed 15 mph.
In the event of thunderstorms, lightning, high winds, tropical systems, or other hazardous conditions, the Customer agrees to immediately evacuate all persons from the tent and surrounding area. Continued use of the tent in unsafe weather conditions is strictly prohibited.
Once equipment has been delivered and installed, Totally Reliable Party Rentals, LLC shall not be responsible for injuries, damages, or losses resulting from weather conditions, including wind-related movement, collapse, or failure, regardless of whether the tent was properly installed and secured.
Named Storm Policy: In the event a named tropical storm or hurricane is forecasted to impact the rental area, Totally Reliable Party Rentals, LLC reserves the right to cancel delivery or require early removal of equipment for safety reasons. Weather-related cancellations will be handled in accordance with the Weather-Related Cancellation policy.
Inspection & Defective or Missing Equipment:
The Customer must review all rental items immediately upon delivery and setup. Any issues, including defects, missing components, or items that are not functioning properly, must be reported to Totally Reliable Party Rentals, LLC within 30 minutes of delivery. If issues are not reported within this timeframe, the equipment will be considered accepted as delivered, and the Customer assumes full responsibility for its use.
Equipment Repairs or Replacement:
If a rental item becomes unsafe, defective, or unusable during the rental period, the Customer must stop using it immediately and notify the Company. Totally Reliable Party Rentals, LLC will repair or replace the item if available. The Company is not responsible for any indirect, incidental, or consequential losses resulting from delays or equipment malfunction.
Title & Ownership:
All rental items remain the sole property of Totally Reliable Party Rentals, LLC. The Customer is granted only the right to use the equipment in accordance with these Terms & Conditions. Any identifying labels, markings, or tags on the equipment must not be removed, covered, or altered without the Company’s written approval. Rental items remain personal property even if temporarily anchored or attached to the event site. Equipment may not be taken from the delivery or setup location without written permission from the Company.
Use Restrictions:
Rental equipment may not be lent, subleased, transferred, or assigned to any other person or entity without prior written approval from Totally Reliable Party Rentals, LLC. Any unauthorized use or transfer of equipment is strictly prohibited.
Equipment Warranty:
Totally Reliable Party Rentals, LLC does not manufacture rental equipment and provides no warranties, express or implied, including warranties of merchantability or fitness for a particular purpose. The Customer acknowledges that rental equipment is provided “as-is” and may have minor imperfections or limitations. The Customer is responsible for using all equipment safely and as intended.
Return & Possession:
The Customer’s right to possess the equipment ends at the conclusion of the scheduled rental period. Retaining possession beyond the pickup time may result in additional fees, and the Customer is responsible for any loss or damage during the extended period. Any requested extension must be mutually agreed upon in writing.
The Customer is responsible for any loss, theft, or damage to rental items during the rental period. A damage waiver fee may be required and will be disclosed at the time a quote is provided. The damage waiver is not insurance and does not cover loss, theft, intentional damage, misuse, or damage caused by wind, weather, fire, or negligence.
Rental items must be returned free of food residue, wax, tape, confetti, paint, or other substances. Excessive cleaning beyond normal use may result in additional fees.
Linens are rented separately unless otherwise stated. Linens must be returned free of excessive stains, burns, tears, or damage. Replacement fees may apply for damaged or unusable linens.
The Customer is responsible for obtaining any required permits, venue approvals, HOA permissions, or park authorizations required for delivery or setup within the City of Tampa, Hillsborough County, or surrounding areas.
Totally Reliable Party Rentals, LLC reserves the right to refuse or discontinue service if conditions are unsafe, access is restricted, site conditions are misrepresented, or these Terms & Conditions are violated.
Totally Reliable Party Rentals, LLC carries general liability insurance. A customer damage waiver, when offered, is not insurance and does not replace the Customer’s responsibility for rented equipment during the rental period.
To the fullest extent permitted under Florida law, Totally Reliable Party Rentals, LLC shall not be liable for injuries, damages, or losses arising from improper use, misuse, or unsafe conditions related to rented equipment.
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of the State of Florida.
By requesting a quote, placing an order, or accepting delivery of rental equipment, the Customer acknowledges and agrees to these Terms & Conditions.
Damage Waiver:
A damage waiver may be required and will be disclosed as part of the rental quote. The damage waiver covers accidental damage from normal use only and does not cover loss, theft, intentional damage, misuse, vandalism, weather-related damage, or damage caused by improper setup or unsafe conditions.
Deposit:
A deposit equal to 50% of the total rental quote is required to secure a reservation. Deposits are non-refundable under all circumstances.
Full Payment:
The remaining balance is due 3 days prior to the scheduled event date. Failure to pay by this deadline may result in cancellation of the reservation, with the deposit forfeited. Any payments beyond the deposit will be held as a credit toward future rentals, valid for 12 months from the original event date. This applies to all rentals, including tents.
Credit Card Payments & Convenience Fee:
A 3% convenience fee applies to all credit card payments. This fee is added to the total rental cost and is non-refundable.
Cancellations:
All cancellations are subject to the deposit and payment policies above. Tent rentals are treated the same as standard rentals regarding deposits, payments, and credits.
Weather-Related Cancellations:
Weather conditions are inherent risks for outdoor events. Refunds are not issued due to weather. If a cancellation due to forecasted unsafe weather is requested at least 72 hours prior to delivery, a credit for a future rental may be issued, valid for 12 months. Weather-related cancellations within 72 hours of delivery are treated as standard cancellations and subject to deposit/payment policies.
Same-Day or En-Route Cancellations:
Cancellations communicated after delivery personnel are en route or after setup has begun will result in full forfeiture of all rental charges, with no refunds or credits issued.
Notice of Cancellation:
All cancellations must be submitted in writing via email or other approved communication method. Cancellation requests are not effective until confirmed by Totally Reliable Party Rentals, LLC.
